Privacy Policy

This Privacy Policy explains how VinTraxx Automotive LLC ("VinTraxx", "we", "us") collects, uses, shares, and protects information when you use the VinTraxx SmartScan mobile application and related services (the "App"). By using the App, you agree to the practices described here.

We collect the following categories of information to provide the App's features:

• Account information. Your email address, password (stored only as a secure hash), full name, and, for dealer accounts, your business details, logo, and labor rate.
• Vehicle tracker GPS data. The precise location, speed, ignition state, trips, alerts, and diagnostic events reported by GPS trackers paired to your account, used to display vehicles on a live map and provide trip and tracking features. The App does not collect your phone's location.
• Vehicle & diagnostic data. VIN, vehicle details, OBD-II diagnostic readings, trouble codes, appraisals, and inspection reports you create.
• Photos & camera. Photos you capture or select for VIN scanning, vehicle appraisals, and inspections.
• Bluetooth data. We use Bluetooth to connect to your OBD-II scanner; we do not use Bluetooth to track your location.
• Device identifiers & push tokens. A push notification token and basic device information used to deliver alerts (for example, vehicle alarms) and to operate and secure the service.
• Service appointment requests. The name, email address, phone number, dealership, vehicle, VIN, preferred date and time, and notes you enter when you request a service appointment.
• Website demo requests. The name, work email, phone number, company, industry, product interest, and message you enter in the Book a Demo form on vintraxx.com, and the page you sent it from. We email it to our team to answer your request; it is not stored in the App's database.
• Support log. The App keeps a log of recent app and scanner activity on your phone (for example screens opened, scanner commands and replies, scan results, and errors). It is sent to us only when you choose Upload in Settings → Support Log, together with your account email and phone model, and is used to resolve support requests. Passwords and sign-in tokens are never included.

• Provide, maintain, and improve the App's diagnostic, appraisal, and tracking features.
• Authenticate you, secure your account, and send one-time verification codes.
• Display vehicles and trackers on a map and deliver real-time alerts and notifications.
• Provide customer support and respond to your requests.
• Comply with legal obligations and prevent fraud or abuse.

We do not sell your personal information. We share information only with:

• Google Maps Platform — to render maps and location features.
• Firebase Cloud Messaging (Google) — to deliver push notifications.
• OpenAI — with your permission, vehicle information (VIN, year/make/model, mileage, check-engine light status, diagnostic trouble codes and readings, and for appraisals the condition, ZIP code, and notes you enter) is sent to OpenAI to generate AI diagnostic reports, repair estimates, and appraisal summaries. Your name and email address are not sent. The App asks for this permission before the first AI report, and you can withdraw it at any time in Settings → AI reports (OpenAI).
• Vehicle data providers — VINs are decoded with the NHTSA vPIC service, and VIN and mileage are used to look up vehicle values with Black Book.
• Service providers — hosting and infrastructure vendors that process data on our behalf under contractual confidentiality obligations.
• Legal & safety — where required by law or to protect the rights, property, or safety of VinTraxx, our users, or the public.

We retain your information for as long as your account is active or as needed to provide the App and comply with our legal obligations. Support logs you upload are kept to resolve your request. When you delete your account, we delete your personal data as described below, except where retention is required by law.

You can permanently delete your account and associated personal data at any time, directly within the App:

• Open the App and sign in.
• Go to Settings → Delete account.
• Confirm the deletion.

Deleting your account removes your profile, scans, diagnostic reports, appraisals, inspections, service appointment requests, device pairings, VIN usage records, push tokens, and diagnostic logs uploaded by the App, deletes the location history, trips, alerts, and diagnostic events recorded for your GPS trackers, and unpairs those trackers from your account. This action is irreversible. You may also request deletion by emailing privacy@vintraxx.com. For full instructions, see our Account Deletion page.

We use industry-standard safeguards, including encryption in transit (HTTPS/TLS) and hashed password storage, to protect your information. No method of transmission or storage is completely secure, but we work to protect your data and continuously improve our safeguards.

The App is intended for business and professional use and is not directed to children under 13. We do not knowingly collect personal information from children.

Depending on your location, you may have rights to access, correct, export, or delete your personal information. To exercise these rights, use the in-app deletion flow or contact us at privacy@vintraxx.com.

You can withdraw consent at any time: turn off Settings → AI reports (OpenAI) in the App to stop sharing vehicle information with OpenAI; turn off notifications for the App in your phone's Settings; and the support log is only sent when you choose to upload it.

We may update this Privacy Policy from time to time. We will post the updated version here and revise the effective date above. Material changes may also be communicated within the App.
